Occupational Health and Safety Technician (Bilingual) (1-year Temporary) File Reference Number: IC-073

The Inquiries Service Unit provides two primary services – Safety InfoLine and OSH Answers/Réponses SST. Safety InfoLine provides a confidential, customer-friendly bilingual service to all those who contact CCOHS seeking service assistance for information in response to their questions on any occupational health and safety concern. OSH Answers/Réponses SST is a free collection of over 650 health and safety documents in English and French. They are written by health and safety specialists, and presented in an easy, accessible question and answer format.

The Occupational Health and Safety Technician supports the planning and plan implementation of the Inquiries Service Unit. They are also responsible for maintaining the OSH Answers database, in English and French, and coordinating translation of documents.

Duties

    • Maintains the OSH Answers/Réponses SST database through word processing, formatting documents, coordinating translation, converting documents to HTML format, and linking to image files. Liaises with graphics for images required. Generates OSH Answers statistical reports for Council of Governors, Annual Report, and for other CCOHS departments. (40%)
    • Processes incoming emails with reusable content where appropriate, and triages and distributes incoming emails to appropriate staff. Provides client support on assigned products and services. Conducts preliminary research, compiling of information and other supports to the technical team when needed. (25%)
    • Responsible for administering satisfaction survey and monitors clients' feedback to measure the performance, impact, effectiveness and responsiveness of service. Recommends to the Manager, Inquiries when client follow-up is needed in accordance with service standards. Generates statistical reports for funding organizations to determine subsidies, for Council of Governors, and for other CCOHS departments. (15%)
    • Maintains the Inquiries area of Acumatica and works with the Acumatica Technical Team and Service Point person to coordinate any updates, requests for enhancements and/or technical fixes. (15%)
    • Other related duties, as required. (5%)

Scope of Position

  • The position reports to the Manager, Inquiries Services. The incumbent is a member of the Inquiries Service Unit.

Know-How

  • The incumbent must have a thorough understanding of the goals and objectives of the organization and the work of the Inquiries Team in order to anticipate and respond to various requests. There are often changing priorities which require flexibility and attention to detail.
  • The incumbent must have excellent knowledge of web and office software, such as Microsoft Word, Excel, Dreamweaver, Filemaker and Acumatica to track incoming inquiries and other administration duties. They must have good knowledge of Web Accessibility guidelines in order to follow rules and procedures when editing and proofing OSH Answers/Réponses SST documents.
  • They must have sound knowledge to proof-read, quality-assure and finalize emails, reports and documents, including checking and editing web links. The incumbent is also responsible for administering client satisfaction surveys and tracking responses and feedback for the service unit.
  • The incumbent is responsible for gathering statistical data, preparing reports and administering client satisfaction surveys. They must adjust to frequently changing priorities and deadlines and notify the Manager should time constraints or other challenges arise that require resolution.
  • Excellent and courteous communication skills in both languages are required.

Problem-Solving

  • There are a wide variety of client requests and procedures to choose from when directing a response. At times, the incumbent may be asked to gather information to help with a response. Knowledge of typical health and safety requests will be helpful in order to occasionally search for and recommend responses for the team, particularly in French. Ability to correct broken web links by locating web documents using title searches is required.
  • This position will also assist with technical support, such as helping the client access their account or reports for the mental health assessment tools. They will be responsible for triaging email replies as necessary and responding to emails with standard reusable content.

Accountability

  • The incumbent is responsible for ensuring that all inquiries are properly coded and entered into Acumatica to allow quick retrieval of information and report generation. Ability to follow standardized practices and procedures to handle client requests, distribution and responses is required. Also provides suggestions on improving procedures for the group.
  • The incumbent is also responsible for ensuring that maintenance for OSH Answers/Réponses SST is done accurately and timely. Ability to review and proof Réponses SST documents to ensure the translations are accurate and identify if there are problems with translation. There is supervision of progress and results.

Working Conditions

  • Physical Effort: The employee works at a computer (keyboarding and mousing to read and reply to e-mail, prepare reports, review information, etc.) for the majority of the workday. The work is interspersed with non-computer-based activity, such as reading, thinking, proof-reading, photocopying, filing. The employee has some control over the pace of work and can get up, stretch, and walk on a regular basis. Some stooping and lifting (or handling of light material) may be required.
  • Physical Environment: The employee works at a desk and/or a computer workstation with a keyboard and a mouse for the majority of the workday. The workstation and desk are ergonomically set up, with a wrist rest, mouse rest, document holder, task lamp, as required. The lighting meets standards and there are adjustable blinds on the windows as required. The building environmental controls meet general office requirements. Some risk of RMI due to intensity and duration of work unless safe work procedures outlined are followed.
  • Sensory Attention: The position requires high concentration and attention to detail to compose, enter data, proof-read written and numerical data related to statistical reports, read routine information, communicate with others via e-mail, search for information and listen to others carefully. At times, there may be handwritten documents to decipher. There is some phone work that requires listening carefully for information. Work is required in both English and French which requires extra attention to detail.
  • Mental Stress: There are conflicting demands from many individuals in the group. There are deadlines for the production of OSH Answers and statistical reports as well as strict timelines to be followed for inquiries responses. The incumbent has some control over the pace of work, but no control over the volume of work. Work may be repetitious. There are priorities to be met on a regular basis. There are interruptions from colleagues and the supervisor. The position responds to multiple requests from several staff members. Due to the nature of work, there are potential consequences of missed deadlines and or errors with information that is presented.

Specifications

  • Post-secondary education and at least two years’ office administration experience, or completion of secondary education with four years’ office administration experience, or an equivalent combination of education and experience. Health and safety education and experience would be beneficial.
  • Excellent knowledge of Microsoft Windows and Microsoft Office including Word, Excel, Outlook and PowerPoint are required. Sound knowledge of database management software (such as FileMaker) and of the Adobe Professional PDF creation software is essential.
  • Excellent accuracy and attention to detail is essential.
  • Ability to work in a team atmosphere and coordinate multiple priorities.
  • Ability to communicate in both official languages, orally and in writing, is essential.

Salary

Within the range of

$53,862 to $67,328 (CCOHS-06) per annum.
